This Privacy Policy explains how ALES HR collects, uses, stores and protects personal data as part of its recruitment activities and through the aleshr.com website.

This Policy applies to company representatives, candidates, website visitors and other individuals who interact with ALES HR in connection with recruitment or employment opportunities.

1. Who is the data controller

The information we process depends on the nature of your relationship with ALES HR.

Candidates

  • first and last name;
  • telephone number and email address;
  • location and work availability;
  • CV or résumé;
  • employment history;
  • education and qualifications;
  • professional and language skills;
  • preferred positions and areas of work;
  • salary expectations, where provided;
  • information shared during conversations and interviews;
  • links to professional profiles or portfolios;

Company representatives

  • the name and job title of the contact person;
  • the company represented;

  • information about positions for which recruitment services are requested;
  • requirements and conditions communicated as part of the recruitment brief;

4. Why we process personal data

Compliance with a legal obligation — where applicable law requires us to retain or disclose particular information.

Where processing is based on consent, you may withdraw that consent at any time for future processing.

6. Sharing candidate data with client companies

One of ALES HR’s principal activities is introducing candidates to companies for which we manage recruitment projects.

We do not distribute CVs indiscriminately.

Before a candidate’s identifiable profile or CV is provided to a client company, the candidate is informed about the relevant opportunity and the intended disclosure and has an opportunity to decline further participation.

For confidential recruitment projects, we may initially provide general information about the employer without identifying the company. In such cases, the identity of the client will be disclosed before identifiable candidate data is transferred, unless a different approach is expressly permitted by applicable law.

Client companies receive only the information reasonably necessary to assess the candidate in the relevant recruitment process.

7. Other recipients of personal data

Personal data may be accessed or received by:

  • authorised ALES HR personnel;
  • client companies involved in a specific recruitment process;
  • hosting and IT infrastructure providers;
  • email and communications providers;
  • form and technical maintenance providers;
  • providers of external services integrated into the website;
  • professional advisers where necessary;
  • public authorities where disclosure is required by law.

Service providers processing data on our behalf are expected to use it only for the agreed purposes and to apply appropriate safeguards.

8. International transfers

We do not retain personal data for longer than necessary.

General enquiries and contact forms: up to 12 months after the last meaningful communication.

Company enquiries and recruitment projects: for the duration of the project and normally for up to 24 months after the last meaningful interaction, unless a contractual or legal requirement requires longer retention.

Candidates considered for a specific position: for the duration of the recruitment process and for up to 12 months following its completion for the administration of the process and any related follow-up.

Candidates retained in the ALES HR database for future opportunities: for a maximum of 24 months after the last meaningful interaction or relevant consent. The information will then be deleted, updated or, where appropriate, renewed consent will be requested.

Contractual, tax and accounting records: for the period required by applicable law.

Technical and security logs: only for as long as necessary for the operation and protection of our systems and normally no longer than 12 months, unless the information is required for the investigation of a security incident.

Information may be retained for longer where necessary to comply with a legal obligation or to establish, exercise or defend legal claims.

10. Sensitive personal data

Please do not provide special categories of personal data that are not necessary for a recruitment process.

Such information may include data concerning health, racial or ethnic origin, political opinions, religious beliefs, sex life or sexual orientation, genetic information or biometric data.

If particular sensitive information is genuinely required in a specific situation and its processing is permitted by law, it will only be requested and processed where an appropriate legal basis and safeguards exist.

11. Cookies and external services

The website may use cookies and similar technologies required for its operation.

Strictly necessary cookies may be used to provide website functionality and security.

The Contact page uses Google Maps services to display location information. When such a service is loaded, its provider may receive technical information such as an IP address and browser or device information.

If you believe your personal data has been processed in breach of applicable data-protection law, you may contact us first so that we can review the matter.

You also have the right to submit a complaint to the National Center for Personal Data Protection of the Republic of Moldova.

16. Changes to this Policy

We may update this Privacy Policy when our services, processing activities, service providers or legal requirements change.
